Role Overview
The Front Office Associate serves as the first point of contact for guests upon arrival and departure. You will represent the property's brand and culture with professionalism, ensuring a warm, efficient, and welcoming guest experience throughout all front office interactions. The role demands excellent service orientation, strong communication skills, basic administrative capability, and the ability to multitask in a fast-paced hospitality environment.
Key Responsibilities
Guest Services and Reception
Greet guests with a professional and hospitable manner at arrival and departure.
Conduct efficient and accurate guest check-in and check-out procedures.
Assist guests with inquiries, requests, and general information about the property, amenities, and local attractions.
Reservations and Communication
Handle reservations, modifications, and cancellations via phone, email, walk-ins, and online channels.
Maintain clear, timely communication with guests before, during, and after their stay.
Manage incoming calls professionally, directing them to appropriate departments when needed.
Administration & Systems
Operate the property management system (PMS) for recording guest details, room status, billing, and reports.
Maintain accurate guest records, front office logs, and daily reports.
Coordinate with housekeeping and maintenance for room readiness and service follow-up.
Financial Tasks
Process guest payments, issue invoices, handle cash settlements, and ensure accuracy.
Follow cash handling and billing procedures in compliance with property policies.
Qualifications & Skills
Education & Experience
Minimum educational qualification: 10+2 (Higher Secondary) or equivalent; Hospitality diploma/degree preferred.
Prior experience in front office, guest service, or hospitality environment is advantageous but not strictly mandatory for entry roles.
Technical Skills
Basic computer proficiency and familiarity (or willingness to learn) with front office software and Microsoft Office.
Strong organizational and record-keeping capabilities.
Interpersonal Skills
Excellent verbal and written communication in English and Hindi; additional languages beneficial.
Professional presentation, courteous attitude, and customer-centric orientation.
Operational Skills
Ability to manage multiple tasks simultaneously and remain composed under pressure.
Flexibility to work rotational shifts, weekends, and holidays as required in hospitality operations.
Working Conditions
On-site full-time position with rotational shifts to cover all operating hours at the front desk.
Interaction with diverse guests from domestic and international backgrounds.
