A Front Office Assistant manages the reception area, acting as the first point of contact by greeting visitors, answering phones, scheduling appointments, handling mail, and performing general administrative tasks like data entry, filing, and maintaining supplies, ensuring smooth daily operations and excellent customer service. Key Responsibilities:
Guest Services: Welcome and assist visitors, provide information, handle inquiries, and direct them to the right person or department.
Communication: Answer, screen, and forward incoming phone calls; manage emails and other communications.
Scheduling: Manage calendars, book appointments, meetings, and events.
Administrative Support: Perform tasks like filing, data entry, photocopying, faxing, and preparing documents. Mail & Supplies: Handle
incoming/outgoing mail and packages; maintain adequate office supply levels.
Office Upkeep: Keep the reception area clean, organized, and welcoming.
Essential Skills & Qualifications:
Strong communication and customer service skills.
Excellent organizational and multitasking abilities.
Proficiency with general office equipment and software (computers, phones, etc.). Attention to detail. Professional and friendly demeanor.
Typical Duties (Examples): Check-in/out procedures (especially in hotels).
Handling payments, receipts, and basic bookkeeping.
Assisting other departments as needed. Supporting with special projects or events.
