We are seeking a professional and proactive Front Office Executive to join our Human Resources team. The ideal candidate will be the first point of contact for candidates and employees, ensuring smooth coordination of interviews, meetings, and handling employee queries with efficiency and courtesy.
Key Responsibilities:
Interview Coordination:
Schedule and confirm candidate interviews in coordination with HR and hiring managers.
Welcome and assist candidates during their visit.
Maintain interview records and feedback documentation.
Employee Query Management:
Address walk-in employee queries related to HR policies, attendance, leaves, and other HR services.
Redirect complex queries to appropriate HR personnel and ensure timely follow-up.
Meeting & Calendar Management:
Schedule and manage internal HR meetings, training sessions, and employee engagement activities.
Maintain meeting room bookings and ensure readiness of meeting spaces.
Front Desk Operations:
Manage incoming calls, emails, and visitors professionally.
Maintain visitor logs and ensure security protocols are followed.
Administrative Support:
Assist in maintaining HR documentation and filing systems.
Support HR team in day-to-day administrative tasks.
Qualifications & Skills:
Any Bachelor's degree in any discipline.
2-5 years of experience in front office or administrative roles.
Excellent communication and interpersonal skills.
Proficiency in MS Office (Word, Excel, Outlook).
Strong organizational and multitasking abilities.
Professional appearance and demeanor.
