Duties
Greet visitors and clients at the front desk with professionalism and warmth, creating a positive first impression
Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
Handle incoming correspondence, emails, and inquiries promptly and efficiently
Maintain organized filing systems--both physical and digital--ensuring easy retrieval of documents
Perform data entry tasks with high accuracy using computer literacy skills in Microsoft Office and Google Workspace applications
Assist with calendar management, scheduling meetings, appointments, and coordinating conference rooms
Support bookkeeping activities including invoicing, expense tracking, and basic QuickBooks data entry
Provide exceptional customer service by addressing inquiries and resolving issues promptly
Proofread documents for accuracy and clarity before distribution or submission
Support office management tasks such as ordering supplies, maintaining office equipment, and overseeing general administrative operations
Collaborate with team members to streamline processes and improve overall office efficiency
Maintain confidentiality of sensitive information at all times
Skills
Proven experience in office administration or clerical roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools (Docs, Sheets, Calendar)
Familiarity with QuickBooks for bookkeeping and financial record-keeping
Excellent phone etiquette with experience managing multi-line phone systems
Bilingual abilities are highly desirable to serve diverse client needs effectively
Strong typing skills with high accuracy; attention to detail in proofreading documents
Exceptional customer service skills to support clients, visitors, and team members alike
Ability to handle multiple tasks efficiently while maintaining a positive attitude under pressure
Experience in medical or dental receptionist roles is a plus but not required; relevant personal assistant experience is beneficial
Knowledge of data entry procedures, filing systems, and document management best practices
