The Front Desk Executive will be the first point of contact for parents, visitors, and stakeholders. The role requires excellent communication skills, a pleasant demeanour, and the ability to manage front-office operations efficiently while maintaining confidentiality and professionalism at all times.
2. Key ResponsibilitiesA. Front Office Management
Greet and assist parents, students, visitors, and vendors in a courteous and professional manner.
Manage the front desk operations, including telephone calls, walk-ins, and enquiry handling.
Maintain the visitor logbook and ensure proper ID verification and gate pass issuance.
Direct visitors to the appropriate departments/staff members.
B. Communication & Coordination
Handle inbound and outbound calls, emails, and basic school communication.
Coordinate with academic and non-academic teams for scheduling meetings, PTMs, and appointments with the Principal/Management.
Share accurate information about school processes, admission procedures, and essential updates.
C. Administration Support
Support daily administrative tasks such as filing, documentation, photocopying, and maintaining office supplies.
Assist in managing student attendance records (if required).
Help the Admission Counselor with enquiries during peak admission seasons.
D. Record Management
Maintain updated records of visitor entries, parent communications, and front-office documentation.
Ensure data accuracy and confidentiality while handling sensitive information.
E. Event & School Support
Provide administrative support for school events, celebrations, and meetings.
Coordinate logistics for visitors, resource persons, and parent meetings.
3. Skills & Competencies Required
Excellent verbal and written communication skills (English and Hindi).
Strong interpersonal and customer service abilities.
Proficient in MS Office (Word, Excel, Outlook) and basic computer operations.
Ability to multitask, prioritize, and manage time effectively.
Presentable, polite, and confident personality.
High level of integrity, confidentiality, and professionalism.
4. Qualifications & Experience
Graduate in any discipline (preferred: Hospitality, Administration, or related fields).
1-3 years of experience in front office operations; school experience preferred but not mandatory.
Familiarity with school ERP systems (e.g., Entab) will be an added advantage.
