The Front Desk Executive is the first point of contact for visitors, clients, and employees. The role requires a professional, courteous, and efficient individual who can manage reception duties, handle inquiries, and support administrative tasks to ensure smooth front-office operations.
Key Responsibilities:
Greet and welcome visitors in a professional and friendly manner.
Manage incoming phone calls, emails, and correspondence; direct them to the appropriate departments.
Maintain visitor logs, issue visitor passes, and ensure security protocols are followed.
Schedule and coordinate appointments, meetings, and conference room bookings.
Handle courier services (inward/outward) and maintain proper records.
Maintain the reception area's cleanliness and professional appearance.
Provide general administrative and clerical support (filing, data entry, photocopying, scanning, etc.).
Assist HR/Administration team in coordinating office activities and employee needs.
Manage inventory of front desk supplies (stationery, visitor cards, etc.).
Ensure smooth communication between office staff and external stakeholders.
Qualifications & Skills:
Bachelor's degree / Graduate in any discipline (preferred).
Proven experience as a Front Desk Executive/Receptionist or in customer service role.
Excellent communication (verbal & written) and interpersonal skills.
Proficient in MS Office (Word, Excel, Outlook) and basic computer operations.
Well-groomed, presentable, and professional demeanor.
Strong organizational and multitasking abilities.
Ability to handle confidential information with integrity.
