Job Summary



The Front Office Executive will be the first point of contact for clients, visitors, and vendors. This role is responsible for managing reception activities, coordinating client appointments, and providing administrative support to ensure smooth office operations. The ideal candidate should be well-spoken, professional, and capable of maintaining confidentiality while working in a fast-paced law firm environment.

Key Responsibilities



Client & Visitor Management



Greet and assist clients, visitors, and external parties in a professional manner. Manage the reception desk, handle incoming calls, and route them appropriately. Maintain visitor logs and ensure security protocols are followed.

Appointment & Meeting Coordination



Schedule and confirm client meetings for attorneys. Coordinate conference room bookings and ensure meeting spaces are prepared. Manage calendars and assist in organizing internal meetings.

Administrative Support



Handle incoming and outgoing mail, courier packages, and document dispatch. Maintain and update client contact databases. Assist with scanning, printing, photocopying, and filing legal documents. Support attorneys and administrative staff with routine tasks when required.

Record & Data Management



Maintain front office records, attendance logs, and appointment registers. Ensure proper filing and confidentiality of sensitive legal documents. Update office lists, directories, and internal documentation.

Office Coordination



Oversee maintenance of the reception area to ensure cleanliness and professionalism. Monitor inventory of office supplies and coordinate replenishment. Liaise with facility management, vendors, and service providers.

Qualifications & Skills Required



Bachelor's degree in any discipline (preferred: administration, business, or related field). Prior experience as a Front Office Executive or Receptionist; experience in a law firm is an added advantage. Excellent verbal and written communication skills. Professional appearance and strong interpersonal skills. Proficiency in MS Office (Word, Excel, Outlook). Ability to multitask and manage time efficiently. Strong organizational skills and attention to detail. High level of discretion and ability to maintain confidentiality.

Pay: ?10,000.00 - ?13,000.00 per month
