Job Title: Receptionist / Front Desk Representative



Job Summary:



The Receptionist is responsible for managing the front desk and being the first point of contact for the organization. They provide a welcoming environment, manage visitor flow, handle communications, and perform essential administrative support duties to ensure smooth daily operations.

Key Roles & Responsibilities:



Greeting and Visitor Management:



Greet and welcome guests, clients, and visitors with a professional and friendly demeanor. Direct visitors to the appropriate person or office. Manage visitor sign-in/logbook and issue temporary access badges as required. Communication Handling: Answer, screen, and forward incoming phone calls using a multi-line phone system. Take messages accurately and ensure they are delivered to the intended recipient in a timely manner. Handle general email and correspondence inquiries politely and professionally.

Administrative Support:



Receive, sort, and distribute daily mail, packages, and deliveries. Schedule and manage appointments, meeting rooms, and/or conference room bookings. Assist with various administrative tasks such as filing, data entry, photocopying, scanning, and faxing. Maintain and order office supplies, keeping an accurate inventory. Assist other departments with clerical tasks as needed.

Office Maintenance:



Maintain a clean, organized, and presentable reception area at all times. Ensure all necessary reception materials (e.g., forms, brochures) are stocked and easily accessible.

Qualifications and Skills:



Education: Any graduate .



Experience

: Proven work experience as a Receptionist, Front Office Representative, or similar role is often preferred.

Key Skills:



Excellent verbal and written communication skills. Professional attitude and appearance. Solid organizational and multitasking abilities, with strong attention to detail. Proficiency in Microsoft Office Suite (Word, Excel). Experience with multi-line phone systems and standard office equipment. Strong customer service and interpersonal skills. Ability to be resourceful and proactive when dealing with issues. Ability to handle sensitive and confidential information with discretion.
