The Front Desk Executive serves as the first point of contact for students, parents, faculty, staff, and visitors. The role involves managing front desk operations, providing accurate information, handling inquiries, and ensuring a welcoming and professional environment within the university.
Key Responsibilities
Reception & Visitor Management
Greet and assist students, parents, faculty, staff, and visitors courteously.
Manage visitor registrations and issue visitor passes as per university policy.
Direct visitors to appropriate departments or personnel.
Student & Academic Support
Respond to student inquiries related to admissions, courses, schedules, and campus facilities.
Guide students and parents to relevant academic or administrative offices.
Assist with distribution of forms, notices, and academic information.
Communication & Coordination
Answer and route incoming phone calls and emails efficiently.
Maintain clear communication between departments.
Handle announcements and internal communications when required.
Administrative Duties
Maintain front desk records, logs, and appointment schedules.
Manage incoming and outgoing mail and courier services.
Ensure proper filing of documents and data entry into university systems.
Facilities & Office Support
Monitor front desk supplies and request replenishment when necessary.
Ensure the reception area remains clean, organized, and professional.
Report maintenance or security concerns to the relevant department.
Compliance & Security
Follow university policies, procedures, and confidentiality guidelines.
Assist in enforcing campus access and safety protocols.
Support emergency procedures when required.
Required Skills & Qualifications
Bachelor's degree or diploma (preferred).
Proven experience in front desk, reception, or administrative roles.
Strong communication and interpersonal skills.
Proficiency in MS Office and Ms excel basic office equipment.
Ability to multitask and handle high footfall professionally.
Polite, approachable, and service-oriented attitude.
