To welcome and greet patients, their relatives / other visitors in person or over the phone. You need to be soft spoken, caring and guiding them for their problem or queries.
To answer the phone while maintaining a polite and helping phone manner using proper telephone etiquette.
To provide information to patients about consultants like permanent or full time basis, their OPD hours,their specialties, etc.
To have up to date knowledge of the appointment system - duration of appointments, knowledge of computer system, procedures for booking routine and urgent appointments.
To ensure that the appointment process works efficiently. To monitor the flow of patients to and from consulting rooms, to manage patient queue through telephone and face to face interaction.
To ensure patients are informed, if a doctor is running late or called out.
To respond to all queries and requests for assistance from patients and other visitors.
To attend the incoming phone calls and provide necessary information or to guide the caller as required. Also, to transfer the calls to appropriate parson as required.
To advice new case, old case or emergency OPD charges to patients, to accept payment and to issue receipt.
Explain practice arrangements and requirements for new OPD patients.
To book appointments accurately and appropriately by initiating data entries.
To give appointment of consultants to MRs and other visitors.
To check all consultants' chamber and to ensure all required facilities are madeavailableevery day.
To maintain a supply of relevant stationery to keep consulting rooms stocked.
To deal with patients / their relatives who are angry or upset for various reasons. To listen to them patiently and to help them as promptly as possible.
To ensure that receptionarea isclean and organizedthroughout the OPD timings.
To monitor daily available appointments and toreport any overload to the HOD.
To handle all Health Check up Packages and TPA service.
To maintain a complete list of phone numbers of all doctor,their cell numbers and their residential phone numbers.
To receive and dispatch documents through courier, post office and other means and to hand over to the concerned persons. To maintain register for both, incoming and outgoing documents.
In case of any problem or situation going beyond your control, immediately inform Reception HOD for appropriate solution.
