Greet clients and visitors warmly and professionally.
Handle walk-in inquiries and provide general information about immigration services, visa categories, and company processes.
Direct clients to the appropriate consultant or department.
Ensure a welcoming and organized reception area.
2. Communication and Coordination
Answer incoming calls, emails, and online inquiries; record messages accurately.
Respond promptly to client queries or route them to the right personnel.
Coordinate appointments and schedule meetings between clients and immigration consultants.
Maintain effective communication between clients, consultants, and management.
3. Documentation and Record Management
Collect and verify client documents as per the checklist provided by immigration consultants.
Maintain proper filing systems for client applications, forms, and other records.
Ensure confidentiality and compliance with data protection policies.
Update client information in CRM or database systems.
4. Administrative Support
Manage daily office operations such as stationery, courier, and visitor logs.
Assist consultants with photocopying, scanning, and printing of client documents.
Monitor office supplies and coordinate procurement when necessary.
Support management with administrative tasks and basic reporting.
5. Appointment and Calendar Management
Schedule client consultations and follow up on confirmed or missed appointments.
Send reminders or confirmations via phone, email, or WhatsApp.
Maintain the appointment calendar to avoid overlaps or missed meetings.
6. Payment and Billing Assistance
Support the accounts team by collecting payments and issuing receipts (if authorized).
Keep a record of client transactions and forward details to the finance department.
Inform clients about payment policies or installment plans when applicable.
7. Customer Relationship Management
Follow up with clients for feedback after consultations or visa submissions.
Maintain a polite and professional attitude in all interactions.
Help build a positive reputation for the company through excellent client service.
