The Receptionist is responsible for providing exceptional customer service to pet parents, ensuring smooth front desk operations, and supporting overall clinic administration. This role involves managing appointments, handling client queries, maintaining records, and coordinating with veterinarians and support staff to ensure efficient clinic functioning.
Key Responsibilities
1. Front Desk Operations
Greet clients and pets warmly upon arrival.
Manage check-in and check-out process efficiently.
Handle phone calls, WhatsApp, emails, and online inquiries.
Schedule, reschedule, and confirm appointments.
Maintain a clean, organized, and welcoming reception area.
2. Client Service & Communication
Provide clear information on services, packages, pricing, and procedures.
Assist clients with registration, forms, consent documents, and feedback.
Address client concerns professionally and escalate to the manager when needed.
Coordinate with pet parents for follow-up visits, vaccinations, and reminders.
3. Billing & Cash Handling
Generate invoices and handle billing accurately.
Manage cash, card, UPI, and online payments.
Maintain daily cash reports and reconcile payments at day-end.
Ensure all services are billed correctly.
4. Coordination & Support
Coordinate with veterinarians, technicians, and support staff regarding client flow.
Ensure timely movement of patients to consultation rooms.
Update and maintain client and patient records in the system.
Assist in inventory updates, when required.
5. Compliance & Protocols
Follow clinic SOPs for hygiene, safety, and client handling.
Ensure confidentiality of client and patient information.
Report any operational issues to the Clinic Manager.
