Responsibilities of a Front Desk Receptionist
1. Reception & Guest Handling
Greet visitors warmly and make them feel welcome.
Maintain a professional and positive appearance at all times.
Guide visitors to the correct person or department.
Maintain visitor records (sign-in/out).
2. Communication Management
Answer, screen, and forward phone calls.
Respond to emails and inquiries.
Deliver accurate messages to staff.
3. Scheduling & Coordination
Manage meeting room bookings and appointments.
Assist in organizing events or office activities.
Coordinate with staff for smooth operations.
4. Administrative Support
Maintain front office supplies and inventory.
Handle basic clerical tasks (filing, data entry, photocopying, scanning).
Assist HR/Management in documentation when required.
5. Security & Compliance
Monitor visitor access and maintain security procedures.
Follow company policies regarding confidentiality and data safety.
6. Office Maintenance
Ensure the reception area is tidy, organized, and presentable.
Report repairs or maintenance issues to admin/housekeeping.
