We are seeking a professional and organized Front Desk Manager to oversee the daily operations of our front desk in a real estate office. The ideal candidate will possess excellent communication skills, a customer-centric attitude, and experience managing a team. The Front Desk Manager will serve as the first point of contact for clients, potential buyers, and agents, ensuring a seamless and positive experience in our office.
Key Responsibilities:
1. Client and Guest Relations:
- Greet clients, potential buyers, sellers, and visitors in a friendly, professional manner.
- Answer and direct calls, take messages, and ensure prompt responses to client inquiries.
- Provide information about the company's real estate services, listings, and general market trends.
- Address client inquiries and resolve any issues in a courteous and efficient manner.
2. Front Desk Management:
- Oversee the smooth operation of the front desk, ensuring it is properly staffed and organized.
- Manage visitor sign-in process and direct clients to the appropriate agents or offices.
- Maintain a welcoming and professional environment in the reception area at all times.
- Ensure all incoming mail, packages, and deliveries are sorted and distributed appropriately.
3. Team Leadership:
- Supervise and support front desk staff, ensuring excellent customer service and smooth operations.
- Train, mentor, and evaluate front desk team members on best practices and company standards.
- Manage staff schedules and ensure the front desk is adequately staffed during business hours.
4. Administrative and Office Support:
- Perform clerical tasks such as filing, data entry, and document preparation.
- Coordinate with agents and office staff to schedule appointments, meetings, and property showings.
- Maintain and update client databases and records using CRM and other office management systems
5. Communication and Coordination:
- Act as a liaison between clients, agents, and other departments, ensuring clear communication and prompt follow-up.
- Ensure that all inquiries and leads are tracked and directed to the appropriate real estate agents.
- Prepare and distribute company materials, such as property listings, brochures, and promotional items.
6. Office Organization and Maintenance:
- Ensure the office is kept clean and well-maintained, including the front desk area and client meeting spaces.
- Order and maintain office supplies, including business cards, brochures, and marketing materials.
- Assist in managing office technology, including phones, computers, and other equipment.
Qualifications:
Proven experience in customer service or front desk management, preferably in a real estate or office environment.
Strong leadership skills and experience managing a team.
Excellent communication skills, both written and verbal.
Familiarity with real estate terminology and practices is a plus.
Ability to multitask and manage time effectively in a fast-paced environment.
High school diploma required; a degree in business administration, real estate, or a related field is preferred.
Real estate license (or willingness to obtain) is a plus but not required.
Work Environment:
Office-based, customer-facing environment.
Flexible working hours may be required, including evenings or weekends during high-demand periods.
