Job Description

The Front Desk Executive serves as the primary point of contact for visitors, clients, and internal team members. This role ensures smooth daily operations at the reception, maintains a welcoming environment, handles inquiries, supports administrative tasks, and coordinates communication between departments. The candidate must demonstrate strong interpersonal skills, attention to detail, and a customer-first approach to deliver an exceptional front office experience.

Key Responsibilities



Reception & Guest Management



Greet and welcome visitors, clients, and vendors in a professional and courteous manner. Maintain visitor logs, manage appointments, and issue visitor passes. Direct guests to appropriate personnel or meeting rooms.

Communication & Coordination



Answer, screen, and forward incoming phone calls and emails. Maintain effective communication with internal departments for scheduling, deliveries, and inquiries. Relay messages promptly and accurately to team members.

Front Desk Administration



Manage daily reception desk operations including cleaning, organizing, and stocking materials. Maintain calendars for meeting rooms and bookings. Handle incoming and outgoing mail, courier services, and document dispatches.

Record & Data Management



Maintain updated contact lists, vendor details, and general office database. Prepare basic reports, documentation, and follow-up records for management. Assist in maintaining attendance sheets and visitor documentation.

Customer Service Support



Respond to queries regarding workspace, facilities, or organizational information. Assist with basic sales or service inquiries when required and escalate to appropriate personnel. Ensure a positive experience for all clients and guests at the reception.

Facility Support



Coordinate with housekeeping and facility teams for office upkeep. Report maintenance issues, monitor office supplies, and raise purchase requests when needed. Support meeting room setup (stationery, refreshments, equipment availability).

Requirements



Education & Experience



Bachelor's degree preferred; minimum 12th pass accepted. 1-3 years of experience in front desk, receptionist, customer service, or administrative roles.

Skills & Competencies



Excellent verbal and written communication skills. Proficient in MS Office, email handling, and basic computer operations. Strong organizational and multitasking abilities. Customer-centric attitude with a polite and professional demeanor.

Behavioral Attributes



Presentable with good grooming and cleanliness standards. Punctual, reliable, and able to work under pressure. Positive attitude, patience, and active listening skills. Ability to maintain confidentiality and handle sensitive information.

Other Requirements



Fluency in English and Hindi (additional local languages a plus). Ability to work at the front desk Monday-Saturday or as per company schedule. Willingness to support cross-functional activities and team events when required.
