As the first point of contact for our organisation, the Front Desk Executive plays a vital role in representing our culture and professionalism.
Role Overview
The Front Desk Executive will be responsible for managing reception activities, ensuring smooth daily office operations, and providing excellent support to visitors, employees, and leadership. This role requires strong communication skills, a welcoming attitude, and the ability to multitask efficiently.
Key Responsibilities
Reception & Visitor Management
Greet and assist visitors, founders, investors, and guests in a professional and friendly manner.
Maintain visitor records and issue visitor passes.
Handle incoming calls, emails, and inquiries; route them appropriately.
Ensure the front desk area is clean, organised, and presentable at all times.
Administrative Support
Manage courier, mail, and package distribution.
Assist with scheduling meetings, booking conference rooms, and coordinating office events.
Support HR and admin team with documentation, filing, and basic data entry tasks.
Maintain inventory of office supplies and coordinate procurement when required.
Coordination & Communication
Liaise with internal departments for seamless office operations.
Assist in onboarding coordination for new joiners (ID card creation, seat allocation, document verification, etc.).
Provide basic support during investor meetings, startup events, and accelerator programs.
Office Management
Monitor housekeeping and ensure hygiene standards across office premises.
Coordinate with vendors for maintenance, repairs, and facilities management.
Oversee meeting room set-ups, refreshments, and hospitality arrangements.
Required Skills & Qualifications
Bachelor's degree (preferred).
1-3 years of experience in front desk, customer service, or administrative roles.
Excellent verbal and written communication skills.
Proficiency in MS Office (Word, Excel, Outlook).
Strong organisational and multitasking abilities.
Pleasant personality with a customer-centric approach.
Ability to handle confidential information with integrity.
