We are seeking a dependable and courteous Front Desk Executive to join our administrative team and serve as the first point of contact for students, parents, and visitors.
Job Summary:
The School Front Desk Executive plays a vital role in upholding a positive and inviting atmosphere within our school. This position entails overseeing the front desk, managing inquiries, providing administrative support, and ensuring smooth operational flow in the school's main office.
Key Responsibilities:
Front Desk Management:
Warmly greet and welcome visitors, students, and parents, creating a professional and inviting first impression.
Respond to incoming phone calls, direct calls to appropriate staff members, and take messages as needed.
Keep the front desk area organised, clean, and presentable.
Inquiry Handling:
Track & address off-line as well as on-line inquiries.
Offer accurate information and assistance to students, parents, and visitors regarding school policies, programs, and procedures.
Direct inquiries to the relevant department or staff member as required.
Administrative Support:
Assist in maintaining school records and databases, including student attendance and enrolment data.
Help schedule appointments and manage calendars for school staff & management team.
Prepare and distribute school-wide announcements and communications.
Fill in for relevant roles in case of absenteeism.
Visitor Registration:
Register and sign in all visitors, ensuring the school's safety and security.
Issue visitor access and monitor access to the premises.
Mail and Deliveries:
Receive and distribute incoming mail, packages, and deliveries promptly.
Prepare outgoing mail and packages for shipment.
Manage online/ email queries & tasks.
School Supplies and Inventory:
Keep track of office supplies inventory and initiate orders when necessary.
Maintain an inventory log and report any supply shortages.
Safety and Security:
Assist in emergency procedures and ensure that safety protocols are strictly followed.
Report any suspicious or unusual activities to the appropriate authorities promptly.
Qualifications:
High school diploma or equivalent (Bachelor's degree preferred).
Previous experience in a front desk or customer service role is a plus.
Exceptional verbal and written communication skills.
Strong organisational and multitasking abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
A welcoming, patient, and courteous demeanor.
Ability to handle confidential information discreetly.
Preferred Skills:
Familiarity with school policies and procedures.
Proficiency in using school management software or databases.
Bilingual skills (if relevant to the school's student population).
