The Front Desk Executive will be the first point of contact for visitors and callers, responsible for creating a welcoming environment and ensuring smooth front-office operations. This role requires strong communication skills, a pleasant personality, and the ability to handle multiple tasks efficiently.
Key Responsibilities:
1. Reception & Visitor Management
Greet and welcome visitors in a polite and professional manner.
Maintain visitor logs and issue visitor passes.
Inform relevant staff members of visitor arrivals.
2. Call Handling
Answer, screen, and forward incoming calls promptly.
Manage the company's main telephone line and handle inquiries.
Take accurate messages and ensure timely communication.
3. Front Desk Operations
Maintain the reception area's cleanliness and organization.
Manage courier services, incoming and outgoing mail/documents.
Coordinate meeting room bookings and ensure readiness.
Handle basic administrative tasks such as photocopying, scanning, and filing.
4. Support to HR/Admin
Assist with employee attendance coordination if required.
Support HR/admin in day-to-day tasks such as documentation, record keeping, and event coordination.
Manage ID card issuance, access cards, and related records (if applicable).
5. Customer Service
Provide accurate information to visitors, clients, and employees.
Address basic queries regarding the company, following escalation protocols when needed.
Skills & Qualifications:
Graduate in any discipline (preferably in Administration, Hospitality, or related fields).
Proven experience as a Front Desk Executive or in a similar customer-facing role.
Excellent communication and interpersonal skills.
Proficient in MS Office (Word, Excel, Outlook).
Well-groomed, professional appearance, and positive attitude.
Strong organizational and multitasking abilities.
