Working Relationships

Reports directly to the Admin Manager. Assists the Admin Manager, Finance Manager and the Admissions Office by providing support for a range of office functions. Provides administrative support to the Principal, Senior Management Team and Teachers as and when required, and as appropriate.
Job Overview

The Front Office Executive is the first point of contact for all staff, parents, students, and visitors.
Their demeanor and interaction with stakeholders represent the values of the organization.
The principal responsibility is to provide receptionist support -- being the first contact in receiving visitors, staff, and pupils, and supporting administrative functions.

Responsibilities and Duties

1. Receptionist Service



Welcome, receive, sign in, and direct staff, pupils, parents, management, visitors, and other stakeholders. Manage entry system for staff, pupils, parents, and visitors. Operate the main telephone, transfer calls, or take/deliver messages. Manage the main inbox, reply/forward messages, and schedule appointments for staff. Maintain public noticeboard by adding or removing content as appropriate.

2. Administrative Support



Receive and sort incoming mail for appropriate staff. Record, stamp, and post outgoing mail. Routine word processing as required. Assist with recovery of outstanding dues by maintaining accurate records, generating reminder letters, and making calls. Alert Head of Accounts about persistent debt cases. Maintain filing and archiving systems. Perform clerical tasks: photocopying, printing, faxing, laminating, etc. Report premises faults, damages, or incidents to the Admin Manager and follow up until resolved. Report equipment faults to service companies and ensure timely resolution. Monitor stock levels and place orders. Check stock orders against Delivery Notes and Purchase Orders; follow up on discrepancies or missing/damaged items. Organize storage of stock orders in coordination with relevant departments. Assist in generating statutory and non-statutory reports and returns in a timely manner.
