We are seeking a friendly, organized, and professional

Front Desk Executive

to be the first point of contact at our Skin and Hair Clinic. The ideal candidate will manage front desk operations, schedule appointments, assist patients, and ensure smooth coordination between clients and the clinical team.

Key Responsibilities:

Greet and welcome clients and visitors in a warm and professional manner. Manage appointments and maintain the doctor's calendar using the clinic's software or manually. Answer incoming phone calls, WhatsApp, and emails; respond to inquiries regarding treatments, services, and pricing. Maintain patient records, update databases, and ensure all documentation is complete. Coordinate with dermatologists, trichologists, therapists, and other clinic staff for seamless service. Collect payments, issue invoices and receipts, and handle basic billing processes. Ensure the front office, waiting area, and reception desk are neat and organized at all times. Follow up with clients for appointment reminders, feedback, and repeat visits. Manage inventory for reception supplies and coordinate with the administration for requirements. Handle patient complaints or queries with empathy and escalate issues to the clinic manager if necessary. Maintain confidentiality of client data and adhere to clinic protocols.

Key Requirements:

Minimum 1-3 years of experience as a Front Desk Executive, Receptionist, or similar customer-facing role, preferably in a clinic, hospital, or wellness center. Proficiency in using clinic management software and MS Office (Excel, Word). Excellent communication skills in English and [local language, if applicable]. Strong interpersonal and customer service skills. Ability to multitask and work in a fast-paced environment. Presentable, well-groomed, and with a pleasant personality.
