We are looking for a smart, proactive, and organized Front Desk Executive to manage daily front office operations. The ideal candidate should ensure a welcoming environment while supporting HR and administrative functions effectively.
Key Responsibilities:
Front Desk Operations:
Greet and assist visitors, clients, and staff professionally.
Maintain visitor entry records and manage the visitor logbook.
Handle incoming phone calls and redirect appropriately.
Office & Conference Management:
Ensure cleanliness and upkeep of the reception area, conference rooms, and common areas.
Arrange and check conference room setup before meetings (stationery, water, cleanliness, etc.).
Coordinate with housekeeping and ensure scheduled cleaning is maintained.
Employee Attendance & Leave Management:
Maintain daily attendance records of all employees.
Keep track of leave applications and share records with HR for monthly updates.
Pantry & Asset Stock Management:
Oversee pantry operations and coordinate with pantry staff.
Maintain stock of pantry supplies and office assets, and raise requirements proactively.
HR Support:
Assist the HR team with onboarding processes including documentation and welcoming new joiners.
Provide support in day-to-day HR and administrative tasks as required.
Executive Support:
Assist the CEO and leadership team with assigned tasks, follow-ups, and scheduling when required.
Requirements:
Minimum 1-3 years of experience in a similar role.
Strong communication and interpersonal skills.
Good knowledge of MS Office (Excel, Word, Outlook).
Well-organized with multitasking abilities.
Presentable, punctual, and responsible.
