Receptionist / Admin / HR Executive
to be the face of our studio and support daily operations.
Key Responsibilities
Reception & Front Desk Management
Greet and welcome clients, visitors, and vendors in a professional and courteous manner
Manage all incoming phone calls and emails; route them appropriately
Maintain a clean, organized, and aesthetically pleasing front desk and waiting area
Manage bookings for client meetings and conference rooms
Ensure visitor logbook and security protocols are followed
Administrative & Office Coordination
Maintain daily office operations including facility management and supplies
Track and manage inventory of office stationery, pantry items, and other consumables
Coordinate with service vendors (housekeeping, maintenance, courier, etc.)
Draft emails, memos, and basic documentation as needed
Organize company files, records, and documentation (physical and digital)
Prepare basic reports, maintain checklists, and follow up on tasks
Human Resources Assistance
Assist in end-to-end recruitment process: job posting, resume screening, interview scheduling, follow-ups
Maintain employee records, attendance, and leave tracking
Coordinate onboarding and induction for new hires
Support employee engagement activities and internal communication
Ensure HR policies and procedures are communicated and followed
Assist in preparing HR-related documents: offer letters, contracts, confirmations, etc.
Calendar & Meeting Management
Manage Director's schedule: appointments, travel plans, and meetings
Set reminders and coordinate with internal team and external clients
Ensure all meetings are prepared for (materials, room setup, refreshments)
General Support
Provide administrative support to design and project teams as needed
Follow up on pending tasks with different departments
Maintain confidentiality of all sensitive company information
Handle miscellaneous errands and ad hoc tasks assigned by management
Working Days:
Monday to Saturday
Timing:
9:30 AM - 6:30 PM
Job Type: Full-time
Pay: ?25,000.00 - ?30,000.00 per month
