Key Responsibilities:

1. Front Office Management




Manage the reception desk efficiently -- greet visitors, clients, and guests courteously. Handle incoming calls, emails, and correspondence professionally. Maintain visitor logs and ensure compliance with company security and access protocols.

2. Administrative Support




Provide administrative assistance to various departments as required. Manage courier, inward/outward mail, and documentation. Support in preparing letters, reports, and basic office communication.
#

3. Office Coordination




Coordinate housekeeping, pantry, and office maintenance activities. Maintain stock and inventory of office supplies and stationery. Ensure cleanliness and orderliness of the reception and common areas.

4. Vendor & Facility Management




Coordinate with vendors for office supplies, equipment repairs, and facility services. Assist in vendor follow-ups, quotation collection, and invoice verification. Ensure timely renewal of AMCs and service contracts Support facility management for office infrastructure upkeep

5. Event & Meeting Coordination




Schedule and organize meetings, conferences, and appointments as required Manage meeting room bookings, setup, and refreshments. Assist in organizing company events, celebrations, and travel arrangements.

6. Record Keeping & Reporting




Maintain records of visitor logs, and admin expenses. Prepare daily/weekly reports for admin activities and share with the Admin Manager.

7. Compliance & Customer Service




Ensure all front-office operations align with company policies. Deliver prompt and professional responses to internal and external stakeholders. Uphold confidentiality and company image at all times.
#

8. Monthly Bill Management




Handle all

monthly bills

-- electricity, telephone, internet, water, and maintenance. Verify, process, and forward bills for approval and timely payment. Maintain a monthly tracker for utility and service payments.
