Job Summary
We are seeking a reliable and well-organized
Front & Back Office Executive
to support daily administrative operations while managing front office coordination. The ideal candidate will be professional, detail-oriented, and capable of handling bookings, documentation, and official correspondence while maintaining a smooth interface with clients, vendors, and internal teams.
Key Responsibilities
Receive and assist visitors, clients, and vendors in a professional and courteous manner.
Handle incoming calls, emails, and general inquiries; route them to the appropriate departments.
Coordinate meetings, appointments, and visitor schedules.
Manage end-to-end travel arrangements (domestic and international), including flight bookings, hotel reservations, transport, visas (if required), and itinerary planning.
Handle all travel-related mail correspondence, confirmations, follow-ups, and documentation.
Draft, format, and maintain administrative letters, official correspondence, and internal/external documents.
Maintain filing systems and records in both physical and digital formats.
Prepare basic reports, trackers, and office-related documentation as required by management.
Coordinate with travel agents, hotels, airlines, vendors, and internal teams for smooth execution of travel and administrative tasks.
Provide day-to-day administrative support to management and departments.
Candidate Profile
Minimum 3 years of experience in front office, administration, or office coordination roles.
Proven expertise in flight ticketing, hotel bookings, travel scheduling, and professional email communication related to travel arrangements.
Strong written and verbal communication skills.
Proficient in MS Office (Word, Excel, Outlook).
Highly organized with excellent follow-up, multitasking, and time management skills.
Professional attitude with attention to detail and confidentiality.
Ability to work independently and manage routine office operations efficiently.
Eligibility
Education:
Graduate in any discipline (preferred).
Location:
Must be based in Kolkata.
Experience:
Prior experience in corporate, manufacturing, engineering, or trading organizations will be an advantage.
