The Flight Contracting Executive/Manager is responsible for sourcing, negotiating, and contracting airline inventory for corporate groups, MICE events, student tours, leisure groups, and VIP movements. The role ensures competitive airfares, smooth coordination with airlines/GSAs, and reliable seat blocks that support operational excellence and profitability.
Key Responsibilities
1. Airline Sourcing & Negotiations
Source suitable airline options based on destination, budget, group size, and client preferences.
Negotiate group airfare contracts, block bookings, deposit terms, and value-added services.
Secure special fares, corporate fares, student fares, and charter options when required.
Negotiate flexible cancellation, name-change, and payment policies for large groups.
2. Contracting & Inventory Management
Draft, review, and finalize agreements with airlines and GSAs (General Sales Agents).
Manage seat blocks and track deadlines for deposits, ticketing, and name submissions.
Ensure availability of required seat inventories across multiple sectors.
Monitor fare fluctuations and optimise procurement to improve margins.
3. Vendor & Relationship Management
Maintain strong relationships with airlines, GSAs, consolidators, and travel partners.
Conduct regular meetings to secure seasonal deals and priority support for group bookings.
Handle service issues, escalations, schedule changes, and rebooking coordination.
4. Costing & Market Benchmarking
Prepare accurate airfare costings for proposals and tenders.
Compare fares across carriers, GDS, consolidators, and direct airline channels to ensure competitiveness.
Stay updated on airline promotions, route expansions, and aviation industry trends.
5. Internal Coordination
Work closely with Sales, Operations, and Events teams to provide flight options based on client briefs.
Share contracted fares, availability updates, and ticketing deadlines clearly with internal teams.
Support group tour planning with flight feasibility, transit analysis, and baggage allowance guidance.
6. Documentation & Reporting
Maintain a detailed database of contracted fares, airline contacts, credit applications, and agreements.
Track savings achieved through negotiations and provide weekly/monthly contracting reports.
Ensure accurate documentation for invoicing, refunds, ADM/ACM management, and compliance.
Key Skills & Requirements
Strong understanding of airline fare structures, GDS (Amadeus/Galileo/Sabre), and group booking processes.
Excellent negotiation, communication, and vendor-management skills.
Experience in group ticketing, airline contracting, or corporate travel.
Ability to manage multiple deadlines (deposits, ticketing, name lists) with high accuracy.
Proficiency in fare comparison tools, Excel, and contracting systems.
Preferred Qualifications
Bachelor's degree in Travel, Tourism, Aviation, or Business.
2+ years of experience in airline group contracting or flight operations.
Prior experience handling large movements (200-600+ pax) and multi-sector itineraries.
Knowledge of aviation policies, baggage rules, and visa/immigration basics
Candidate should be fluent with Flight Booking & GDS Software like - Amadeus, Galileo, Sabre additional Software experience can be a plus point.
