Job Description

Job Title: Fleet Accountant - Costing

Department: Finance & Accounts

Key Responsibilities:

1. Fleet Costing & Financial Control

Develop, maintain, and analyse detailed vehicle-wise and route-wise cost sheets.

Track direct and indirect costs such as fuel, tyres, maintenance, insurance, driver wages, tolls, and permits.

Evaluate cost per kilometre (CPKM), cost per trip, and profitability per vehicle type or segment.

Conduct monthly variance analysis and highlight reasons for deviations against budgeted norms.

Monitor and report fleet operating margins and suggest corrective actions for cost leakages.

2. Budgeting, Forecasting & Cost Optimization

Prepare and manage annual and monthly fleet budgets in coordination with operations and management.

Monitor budget vs. actual performance at fleet, depot, and route levels.

Identify cost drivers and recommend strategies for cost reduction and efficiency improvement.

Assist management in financial feasibility studies for new vehicle purchases or contract routes.

Provide strategic inputs for procurement negotiations based on cost analytics and benchmarks.

3. Accounting, Reconciliation & Reporting

Ensure accurate accounting of all fleet-related transactions in the system.

Oversee reconciliation of vendor bills for fuel, repairs, spares, tyres, insurance, and maintenance.

Maintain vehicle-wise ledgers and cost centres for transparency in expense tracking.

Prepare monthly and quarterly Fleet MIS reports, including cost trends, utilization efficiency, and cost-saving insights.

Support finance management in monthly closing, provisioning, and audit preparation.

4. Compliance & Documentation

Ensure documentation accuracy for insurance renewals, permits, fitness certificates, and vehicle registrations.

Coordinate with internal and statutory auditors, ensuring compliance with tax and accounting standards.

Maintain records for GST, TDS, and other statutory requirements related to fleet expenses.

Implement and monitor internal controls to prevent cost overruns or revenue leakage.

Key Performance Indicators (KPIs):

Accuracy and timeliness of fleet cost reports.

Reduction in avoidable fleet costs (fuel, maintenance, idle time).

Improvement in cost per kilometre (CPKM) and cost per trip.

Budget adherence and cost control effectiveness.

Audit and compliance performance (no major observations).

Qualification & Experience:

Education: B. Com / M. Com / MBA (Finance) / CMA / Inter CA preferred.

Experience: 7-8 years of accounting experience in fleet costing or transport accounting within the logistics or transportation industry.

System Exposure: Tally ERP, SAP, or similar ERP software; Advanced Excel and data analytics tools.

Key Skills & Competencies:

Strong command of cost accounting and analysis for fleet/transport operations.

Proficiency in Excel (pivot tables, macros, dashboards) and ERP systems.

Deep understanding of logistics operations and cost behaviour patterns.

Excellent analytical, reconciliation, and reporting skills.

Ability to manage large datasets with attention to detail.

Strong interpersonal and coordination skills with operations and technical teams.

Pay: ₹45,571.58 - ₹55,072.10 per month
