1. Objective
To execute and support on-ground events and distribution campaigns for MHKC, ensuring effective implementation, community engagement, and timely reporting, while upholding professional standards and organizational values.
2. Key Responsibilities
Execute on-ground events, awareness drives, and campaigns as per project schedules.
Assist in pre-event setup, on-site registration, crowd management, branding, and post-event wrap-up.
Ensure proper placement and visibility of branding and communication materials.
Engage with local stakeholders, participants, and community leaders to ensure smooth coordination.
Collect and share event data including attendance, media coverage, photos, videos, and participant feedback.
Distribute project-related materials/information during events, adhering to defined protocols.
Coordinate with vendors, volunteers, and local authorities as required for logistics and compliance.
Submit event completion reports and expense statements within defined timelines.
3. Monthly Work Structure
Field Work:
Minimum 18 days per month dedicated to on-ground execution (pre-event preparation, event day, and follow-up).
Travel may include inter-district/state travel with overnight stays as necessary.
Reporting & Desk Work:
7 days per month allocated for report writing, uploading media, admin follow-ups, and planning.
5 days per month allotted as personal/off days.
4. Expense Management & Reimbursements
Eligible Claims:
Travel (public transport or personal vehicle fuel, as per norms)
Meals and lodging (if work requires overnight stay)
Event-related purchases (with prior approval)
Submission Guidelines:
Maintain a daily expense log with original bills.
Submit the monthly reimbursement form to Accounts by the 1st of every month.
5. Reporting & Documentation
Submit a
Daily Activity Log
during event fieldwork.
Prepare and submit
Event Summary Reports
within 24 hours of each event, including:
Event type, location, date, attendance
Photos and videos
Highlights, challenges, and feedback
6. Code of Conduct
Maintain respectful and professional conduct with all stakeholders.
Represent MHKC's values, mission, and identity in a positive and neutral manner.
Avoid any form of bias, favoritism, or conflict of interest.
Timely and truthful reporting is mandatory. Any falsification will attract disciplinary action.
7. Communication & Coordination
Maintain regular updates via calls or WhatsApp with the central desk.
Immediately report any delays, travel issues, or emergencies during fieldwork.
Coordinate actively for future event planning and execution needs.
8. Leave & Absence Policy
All planned leaves must be approved in advance by the reporting authority.
Emergency leave must be communicated at the earliest with proper justification.
Uninformed absence from field days may negatively impact performance evaluations.
9. Exit Procedure
Minimum 15 days' written notice is required.
Complete all pending documentation, report submission, and tasks.
Return all company property and complete the handover process.
Final settlement will be processed post-clearance from HR/Operations.
10. Performance Review Criteria
Number and quality of events supported/executed.
Effectiveness in coordination and problem-solving.
Timeliness and completeness of reports and expenses.
Adherence to travel and documentation protocols.
Professional behavior and communication with team and stakeholders.
