The Facility Manager (Soft Services) will be responsible for end-to-end management of soft service operations, ensuring smooth functioning of housekeeping, security, front office, cafeteria, landscaping, pest control, and waste management. The role demands strong vendor management, people leadership, compliance knowledge, and the ability to deliver world-class customer experience at the facility.
Key ResponsibilitiesOperational Excellence
Oversee daily operations of all soft services to ensure cleanliness, hygiene, and workplace safety.
Implement and monitor
SOPs, checklists, and audit processes
across services.
Ensure
business continuity and minimal service disruption
through proactive planning.
Drive sustainability initiatives such as waste segregation, energy conservation, and green practices.
Ensure
statutory compliance
related to labor laws, safety norms, and vendor contracts.
Vendor & Staff Management
Manage and monitor third-party vendors for service delivery against agreed SLAs/KPIs.
Conduct regular performance reviews of vendors and escalate issues when needed.
Plan and schedule staff shifts, training, and manpower allocation for maximum efficiency.
Conduct
toolbox talks, grooming, and skill development sessions
for staff.
Client & Stakeholder Management
Act as a single point of contact for client representatives for soft service operations.
Address escalations, grievances, and ensure high levels of client satisfaction.
Prepare and present
MIS reports, monthly performance dashboards, and incident reports
.
Support client in
facility audits, statutory inspections, and certifications
.
Financial Management
Prepare and manage
annual budgets
for soft services.
Monitor vendor invoices, validate bills, and ensure cost optimization.
Identify opportunities for cost savings without compromising service quality.
Safety, Health & Compliance
Ensure compliance with
EHS (Environment, Health & Safety)
policies.
Conduct periodic fire drills, safety audits, and awareness programs.
Maintain records of licenses, permits, and statutory approvals for all soft services.
Desired Candidate Profile
Graduate/Diploma in Facility Management, Hospitality, or related discipline.
5-10 years
of proven experience in facility management, specifically in soft services.
Strong leadership and
team-handling skills
with the ability to manage 50-200+ staff.
Hands-on experience in
vendor management, budgeting, and audits
.
Excellent communication and client management skills.
Knowledge of
PF, ESI, insurance, labor laws, and contract compliance
.
Proficiency in
MS Office (Excel, Word, PowerPoint)
and facility management tools/software.
Flexible and adaptable to handle multiple sites or emergency situations.
