Job Summary:

The Facilities Manager will be responsible for overseeing all aspects of the organization's facilities, including building maintenance, space management, health and safety, security, environmental compliance, and vendor management. The ideal candidate will be a proactive, highly organized, and detail-oriented individual with strong leadership and communication skills, dedicated to creating and maintaining a productive and safe work environment.

Key Responsibilities:



Facilities Operations & Maintenance:

Develop, implement, and oversee comprehensive maintenance programs for all building systems (HVAC, electrical, plumbing, fire suppression, etc.) to ensure optimal functionality and extend asset lifespan. Manage and coordinate all repair and maintenance activities, both routine and emergency, minimizing disruption to operations. Conduct regular facility inspections to identify and address potential issues, ensuring high standards of cleanliness, safety, and functionality. Oversee utility consumption and implement strategies for energy efficiency and cost reduction.

Health, Safety & Security:

Develop, implement, and enforce health and safety policies and procedures in compliance with local regulations and industry best practices. Conduct regular risk assessments and safety audits to identify and mitigate hazards. Manage and monitor security systems, access controls, and emergency response plans. Ensure proper waste management and environmental compliance. Lead emergency preparedness and crisis management efforts.

Space Management & Planning:

Optimize space utilization, including planning layouts, managing office moves, and overseeing renovations or refurbishments. Collaborate with other departments to understand their space requirements and provide solutions that enhance productivity and collaboration.

Vendor & Contract Management:

Source, evaluate, and manage relationships with external vendors and contractors for services such as cleaning, security, catering, landscaping, and specialized maintenance. Negotiate contracts, ensure service level agreements (SLAs) are met, and monitor vendor performance.

Budget & Financial Management:

Prepare, manage, and monitor the annual facilities budget, forecasting expenses and identifying cost-saving opportunities. Approve invoices and ensure all facility-related expenditures are within budget. Assist in the development of capital budgets for facility improvements.

Team Leadership & Management:

Supervise, train, and mentor facilities staff (e.g., custodians, technicians, groundskeepers). Delegate tasks effectively and ensure high-quality work performance. Foster a positive and collaborative team environment.

Stakeholder Communication & Relationship Management:

Serve as the primary point of contact for all facility-related inquiries and issues from employees, management, and external parties. Communicate clearly and effectively with all stakeholders regarding facility operations, projects, and planned changes. Strive to enhance occupant experience and well-being within the facility.

Strategic Planning & Technology Integration:

Contribute to the long-term strategic planning for facility development and improvements. Stay updated on industry trends and technologies (e.g., building management systems, energy management systems) to optimize facility operations. Implement data-driven decision-making for facility management.

Qualifications:



Bachelor's/Diploma degree in Facilities Management, Business Administration, Engineering, or a related field. (Relevant professional certifications like CFM (Certified Facility Manager) or FMP (Facility Management Professional) are a strong plus.) Proven experience (7 years) as a Facilities Manager or in a similar leadership role overseeing multi-faceted facilities. Strong knowledge of building systems, maintenance practices, and health and safety regulations (e.g., local building codes, fire safety). Excellent organizational, time management, and project management skills. Exceptional communication (written and verbal), interpersonal, and negotiation skills. Demonstrated leadership abilities with experience in managing and motivating teams. Strong problem-solving and critical thinking skills, with the ability to respond effectively to emergencies. Proficiency in facility management software and other relevant IT tools. Financial acumen and experience with budget management. Ability to work independently and collaboratively in a fast-paced environment. Adaptability and flexibility to manage changing priorities and unforeseen challenges.
Working Conditions:

This role typically operates during standard business hours but may require occasional evening, weekend, or on-call availability for emergencies or project oversight.

Pay: ?17,000.00 - ?25,000.00 per month
