The Facility Executive is responsible for ensuring the smooth day-to-day operations, maintenance, and upkeep of the facility. This role involves coordinating with internal teams, vendors, and service providers to maintain a safe, efficient, and high-quality work environment. The Facility Executive plays a vital role in managing infrastructure, housekeeping, security, and utilities while supporting client satisfaction and operational efficiency.
Key Responsibilities
1. Operations & Maintenance
Supervise daily facility operations, including housekeeping, maintenance, security, and pantry services.
Conduct routine inspections of premises to ensure cleanliness, safety, and functionality.
Coordinate preventive and corrective maintenance for electrical, plumbing, HVAC, and other systems.
Ensure all facility assets and equipment are in good working condition and maintain maintenance logs.
2. Vendor & Service Management
Liaise with external vendors for maintenance, cleaning, and utility services.
Oversee service-level agreements (SLAs) and ensure timely completion of vendor tasks.
Evaluate vendor performance and recommend improvements or replacements where necessary.
3. Inventory & Asset Management
Maintain records of consumables, office supplies, and maintenance stock.
Track usage and raise purchase requisitions for replenishment in coordination with procurement.
Maintain an updated asset register for all equipment and furnishings.
4. Compliance & Safety
Ensure adherence to company policies, safety protocols, and statutory compliance.
Monitor fire safety systems, emergency exits, and health & safety equipment regularly.
Conduct or assist in safety drills and risk assessments.
5. Client & Stakeholder Coordination
Support internal teams and clients by addressing facility-related issues promptly.
Coordinate space utilization, desk allocation, and setup for new clients or employees.
Maintain a professional and service-oriented approach in all interactions.
6. Reporting & Documentation
Prepare daily, weekly, and monthly facility operation reports.
Record incident logs, maintenance schedules, and vendor attendance.
Report facility issues and recommendations to the Facility Manager/General Manager.
Requirements
Educational Qualification
Bachelor's degree or diploma in Facility Management, Engineering, Administration, or a related field.
Experience
2-5 years of experience in facility operations, maintenance, or administration (preferably in commercial, co-working, or residential environments).
Technical & Functional Skills
Knowledge of building systems (electrical, plumbing, HVAC, fire safety, etc.).
Proficiency in MS Office (Excel, Word, PowerPoint, and Outlook).
Familiarity with maintenance management software or tools is an advantage.
Understanding of vendor management and facility audits.
