As a Facilities Assistant you will support the Facilities Manager/Officer in their accountabilities and ad hoc tasks, as well as being responsible for managing contractors and carrying out facilities services that comply with all safety requirements to ensure the efficient running of the business. You will be required to organise business trips, update travel diaries and manage trip expenses. In addition, you will organise and track protocol for meetings, update and maintain documents, maintain common areas, aid client reception, manage supply inventory, coordinate events and manage the filing system. What you’ll be doing

  • Managing reception, housekeeping team and horticulture
  • Issuing of access and photo ID cards
  • Managing client visits, internal meetings and event management
  • Travel and hotel bookings
  • Issuing and maintaining stock of stationery & printing items.
  • Ordering of facility related line items and maintaining MIS
  • Helping out in day-to-day facility related activities
  • Managing First Aid supplies
  • Support Facility & Transport team in managing kit management for WFH employees
  • Vendor Management
  • Cafeteria Management
What you’ll need
  • Graduate degree
  • Experience in a similar role (Preferred)
  • Excellent organisational, time management and multi-tasking skills
  • Strong knowledge of MS Office programmes
  • Good understanding of office administration
  • Professional manner with excellent business and communication skills in English
  • Ability to manage pressure, conflicting demands, prioritise tasks and manage workload
  • Careful, structured and independent approach to work as well as great teamwork skills
  • Proactive, highly organised with a strong hands-on attitude
  • Certification in front office Executive or Management or similar - front office related certificate
  • Experience in contact centre environment (Advantageous)
  • Ability to start immediately and work flexible shifts
