The Import-Export Logistics Executive will handle end-to-end logistics operations for international shipments, including documentation, coordination with freight forwarders, customs procedures, tracking, and ensuring timely delivery. The role requires strong communication, attention to detail, and the ability to manage multiple shipments simultaneously.
Key Responsibilities1. Import & Export Operations
Manage complete import and export shipment cycle from booking to delivery.
Coordinate with suppliers, buyers, factories, and freight forwarders.
Ensure accurate documentation for both import and export shipments.
2. Documentation & Compliance
Prepare and verify documents: Invoice, Packing List, BL/AWB, COO, Form A, FTA documents, E-way bills, etc.
Ensure compliance with customs regulations and international trade laws.
Liaise with CHA for clearance and resolve any documentation discrepancies.
3. Shipment Coordination & Tracking
Track shipments end-to-end and provide timely updates to internal teams and clients.
Monitor dispatch plans, transit times, and delivery schedules.
Maintain accurate shipment records and update trackers.
4. Vendor & Freight Management
Negotiate freight rates with shipping lines, forwarders, and transport vendors.
Compare quotes and finalize cost-effective logistics partners.
Handle booking confirmation, container allocation, and last-mile delivery arrangements.
6. Billing & Cost Management
Verify freight invoices, customs bills, and other charges.
Maintain shipment cost sheets and ensure cost control.
Support finance team with required documentation for payment processing.
7. Reporting & MIS
Prepare weekly and monthly shipment reports.
Maintain trackers for pending shipments, clearance status, and delivery timelines.
Escalate delays or operational issues on time.
Skills & Requirements
Bachelor's degree in Logistics, Supply Chain, International Business, or related field.
Minimum 2-5 years of experience in import-export logistics.
Strong knowledge of shipping terms (INCOTERMS 2020).
Experience in handling CHA, shipping lines, and freight forwarders.
Hands-on understanding of customs clearance processes.
Proficiency in MS Excel, email communication, and documentation.
Strong negotiation, coordination, and problem-solving skills.
Ability to work in a fast-paced environment with tight deadlines.
