Job Description

Job Summary:



The Export Documentation Manager is responsible for overseeing and managing all documentation required for the export of goods to international markets. This role ensures compliance with export laws and regulations, coordinates with internal departments and external stakeholders (freight forwarders, customs brokers, clients), and ensures timely and accurate documentation to avoid shipment delays and penalties.

Key Responsibilities:



Export Documentation Management:



o Prepare, review, and manage all shipping and export documentation including invoices, packing lists, certificates of origin, bills of lading, letters of credit, etc.

o Ensure that all documentation meets destination country requirements and Incoterms.

Compliance & Regulatory Adherence:



o Ensure compliance with international trade regulations and company export policies.

o Stay updated with changes in customs regulations, trade agreements, and documentation standards.

Coordination & Communication:



o Coordinate with internal teams such as sales, production, logistics, and finance to ensure accurate and timely documentation.

o Liaise with freight forwarders, shipping lines, and customs agents to facilitate smooth movement of goods.

Team Management (if applicable):



o Lead and supervise a team of documentation officers or assistants.

o Provide training and guidance to ensure adherence to company processes and international standards.

Process Improvement:



o Develop and implement procedures to streamline documentation processes.

o Identify risks and resolve documentation issues to prevent shipping delays or legal complications.

Audit & Record Keeping:



o Maintain accurate records of all export transactions for internal audits and external regulatory checks.

o Manage document archiving systems for easy retrieval and reference.

Key Skills & Competencies:



Deep knowledge of international trade documentation and Incoterms.

Understanding of export compliance regulations (e.g., UCP 600, ISF filings, AES filings).

Strong organizational and multitasking abilities.

Excellent attention to detail and accuracy.

Proficient in MS Office and export documentation software (ERP systems like SAP, Oracle, etc.).

Effective communication and negotiation skills.

Problem-solving and decision-making capabilities.

Qualifications & Experience:



Bachelor's degree in International Business, Logistics, Supply Chain Management, or a related field.

5+ years of experience in export documentation, with at least 2 years in a managerial or supervisory role.

Certification in export/import compliance or international trade (e.g., CUSECO, ITAR) is a plus.

Working Conditions:



Office-based, with occasional visits to ports or warehouses.

May require availability outside regular working hours depending on shipping deadlines or international time zones.

Job Type: Full-time

Pay: Up to ₹600,000.00 per year
