The Export Documentation Executive is responsible for ensuring that all export-related documentation complies with regulatory and company standards. This role involves managing the flow of documents to and from shipping agencies, customs authorities, and clients, and ensuring the timely and accurate preparation and submission of export documents.
Key Responsibilities:
Export Documentation:
Prepare and review export documents, including but not limited to, commercial invoices, packing lists, bills of lading, certificates of origin, and export declarations.
Customs Compliance:
Ensure all export shipments meet the legal and regulatory requirements of the destination country and local customs authorities.
Coordination with Stakeholders:
Work closely with freight forwarders, shipping lines, customs brokers, and clients to ensure smooth and timely processing of export shipments.
Shipment Tracking:
Monitor the status of shipments and ensure that all documentation is correctly matched with the corresponding shipments.
Data Entry and Filing:
Maintain accurate records of all export-related documentation in physical and electronic formats. Ensure proper filing systems are in place for easy retrieval. Form 13 and VGN Filing
Liaison with Government Authorities:
Coordinate with customs and other regulatory agencies to ensure all export shipments are compliant with international trade regulations.
Invoice Management:
Verify and process export invoices, ensuring correct billing and payment procedures are followed.
Problem Resolution:
Handle discrepancies or issues related to shipments, documentation, or customs clearance in a timely and efficient manner.
Skills & Qualifications:
Education:
Bachelor's degree in Logistics, International Business, Supply Chain Management, or related field.
Experience:
Minimum of 2-3 years of experience in export documentation or logistics, preferably in the shipping or freight forwarding sector.
Knowledge:
Understanding of export documentation, customs procedures, and international trade regulations (Incoterms, HS Code, etc.).
Technical Skills:
Proficient in MS Office (Excel, Word, Outlook). Knowledge of export management software or ERP systems is a plus.
Attention to Detail:
High level of accuracy and attention to detail in preparing and reviewing documentation.
Communication Skills:
Strong written and verbal communication skills in English. Ability to interact with internal teams, clients, and third-party vendors.
Problem-Solving:
Ability to troubleshoot and resolve issues related to export shipments and documentation.
Time Management:
Ability to handle multiple tasks and meet deadlines in a fast-paced environment.
Preferred Skills:
Knowledge of international shipping regulations.
Familiarity with Incoterms, Harmonized System (HS) Codes, and other regulatory requirements.
Experience in a customer-facing role or with direct communication with clients.
