The Export Documentation Executive is responsible for handling end-to-end export documentation, shipping coordination, invoicing, and customs clearance activities. The role ensures compliance with international trade regulations and timely execution of export orders.
Key Responsibilities:
1. Documentation:
Prepare, verify, and manage export documents such as:
o Commercial Invoice & Packing List
o Shipping Bill / Export Declaration
o Bill of Lading / Airway Bill
o Certificate of Origin (COO)
o Insurance Certificate
o Letter of Credit (LC) documentation
o Export Incentive / Duty Drawback documents
Ensure accuracy and completeness of all shipping and export-related papers.
2. Shipping Coordination:
Coordinate with freight forwarders, shipping lines, and CHA (Customs House Agents) for booking, container arrangements, and timely shipment.
Track shipments and provide updates to clients and internal teams.
Ensure correct application of
INCOTERMS
(FOB, CIF, EXW, etc.).
3. Invoicing & Finance:
Prepare export invoices as per buyer/LC requirements.
Liaise with banks for submission/negotiation of export documents under LC.
Coordinate with the accounts team for realization of export proceeds and follow up on outstanding payments.
4. Customs & Compliance:
Handle customs clearance procedures in coordination with CHA.
Ensure compliance with DGFT, FEMA, RBI, and other regulatory guidelines.
Maintain accurate records for audit and statutory purposes.
Qualifications & Skills:
Graduate in Commerce / International Business / Logistics; MBA preferred.
Extensive years of experience in export documentation, shipping, or customs clearance.
Good knowledge of international trade practices, export incentives, and customs procedures.
Familiarity with ERP systems and MS Office.
Strong attention to detail, accuracy, and organizational skills.
Good communication and coordination ability.
