The Export Executive - Documentation is responsible for preparing, managing, and maintaining all export-related documents in compliance with international trade regulations, company policies, and customer requirements. The role ensures smooth processing of export shipments, coordination with internal teams, shipping lines, CHA (Customs House Agents), and clients.
Key Responsibilities:
Prepare and process export documents such as Invoice, Packing List, Shipping Bill, Bill of Lading, Certificate of Origin, LC documents, and other statutory documents.
Coordinate with CHA, shipping lines, freight forwarders, and transporters for timely execution of shipments.
Ensure compliance with customs regulations, DGFT policies, and international trade laws.
Verify Letter of Credit (LC) terms and prepare documents as per LC requirements.
Maintain systematic records of all shipping documents and correspondence.
Track and update shipment status, ensuring on-time delivery to customers.
Liaise with banks for negotiation of export documents and realization of payments.
Handle queries from clients regarding documentation and shipments.
Assist in audits, government compliances, and reporting related to exports.
Prepare MIS reports related to export documentation and shipments.
Key Skills & Competencies:
Strong knowledge of export procedures, documentation, and Incoterms.
Familiarity with DGFT, customs clearance, and EXIM policies.
Proficiency in MS Office (Excel, Word) and ERP systems (if applicable).
Attention to detail and accuracy in documentation.
Good communication and coordination skills.
Ability to handle pressure and meet deadlines.
Qualification & Experience:
Graduate in Commerce / International Business / Logistics (MBA preferred).
2-5 years of experience in export documentation.
Experience in working with shipping lines, CHA, and freight forwarders.
