Export Documentation Executive

Job Description

The role involves preparing, maintaining, and arranging all types of export documents and certificates in a timely manner. The executive coordinates closely with freight forwarders, CHA, export documentation agencies, laboratories, and APEDA, ensuring that all documents are accurately prepared and submitted within defined timelines.
Documentation :

  • Prepare Purchase order as per Instruction.
  • Preparation of IRN Generation for E-Invoicing & E-Way
  • Prepare Export Invoice & Packing list as per instruction & Provide to CHA & Other Concernd Person
  • Co-ordinate with Account/finance department for GST Billing
  • Coordinate with CHA for facilitate export container dispatch Clearances & ensure accurate & Compliant customs procedures
  • Prepare APEDA Certificate
  • Prepare & Monitor any Organic rice lab report COC, SGS, Legalization, COO, Phyto , Fumigation as per required
  • Check & Approval Shipping bill Check List, B/L Draft/ Lab Reports as per required
  • Prepare complete export document original & Office Copy Dispatch to Concern Office / person
  • MIS Daily Document tracking report , Daily dispatching report , Courier tracking Report
Reporting/Filing:
  • Conduct periodic reporting of all activities
  • Manage documentation, filing, and record-keeping
Ad-hoc Activities:
  • Assist in Ad-hoc activities
  • Preparing reports - as required by Reporting Manager / Directors/ MD
  • Develop and update Standard Operating Procedures (SOPs)
Working Relationship:
  • External: Customers, Suppliers, and Service Providers
  • Internal: Directors, Managing Director Reporting Manager, Assistant , employees from other
departments, and colleagues within the same department
Requirements
Educational Qualifications
  • Graduate in Logistics, Shipping or Supply Chain
Experience & Skills
  • 4-5 years' experience in export logistics & freight forwarding
  • Strong knowledge of Export-Import procedures (Sea/Land/Air)
  • Experience with customs documentation & port operations
  • Proficient in MS Office (especially Excel)
  • Good communication skills in English & Hindi
  • Experience in Agro/FMCG export companies preferred
