The Export & International Sales Coordinator is responsible for supporting and managing international sales activities for the company's pen manufacturing business. This role involves coordinating export orders, communicating with overseas distributors and clients, preparing export documentation, and ensuring the timely delivery of products in compliance with international trade regulations.
The coordinator works closely with production, logistics, and finance teams to ensure smooth order processing, accurate forecasting, and efficient shipment execution. The role also supports international sales growth by maintaining customer relationships, tracking market trends, and assisting in the development of new export markets.
Responsibilities
Manage and coordinate international sales orders for pens and stationery products from overseas distributors, wholesalers, and institutional buyers.
Prepare, verify, and maintain export documentation including commercial invoices, packing lists, certificates of origin, MSDS (if required), and shipping instructions.
Coordinate with production and quality teams to ensure pens meet customer specifications, branding, and packaging requirements for export markets.
Liaise with freight forwarders, shipping lines, and customs brokers to arrange shipments and ensure on-time delivery.
Monitor production schedules and inventory availability to fulfill export commitments accurately and efficiently.
Communicate with international customers regarding pricing, order confirmation, lead times, shipment tracking, and after-sales support.
Ensure compliance with international trade regulations, destination-country import rules, and company export policies.
Support international sales managers with quotations, contracts, distributor agreements, and sales forecasts.
Track export sales performance, shipment status, and customer accounts; prepare regular sales and market reports.
Handle export-related customer complaints, claims, and quality feedback, coordinating corrective actions internally.
Coordinate with finance teams on payment terms, letters of credit (LCs), export collections, and foreign currency transactions.
Assist in market research to identify new export opportunities, distributors, and international business growth potential.
Support participation in international trade fairs, exhibitions, and promotional activities.
Experience
Minimum
3 years of experience
in export sales coordination, international sales, or overseas business operations, preferably in a
manufacturing or FMCG/stationery industry
.
Hands-on experience in handling
international sales orders
, order processing, and coordination with overseas clients and distributors.
Proven experience in preparing and managing
export documentation
such as commercial invoices, packing lists, certificates of origin, BL/AWB, and shipping instructions.
Experience working with
freight forwarders, customs brokers, and logistics partners
for sea and air shipments.
Practical knowledge of
Incoterms

Experience coordinating with

Exposure to
payment terms
