Job Summary
The EXIM Executive is responsible for managing and coordinating all export and import operations, ensuring compliance with government regulations, timely shipment of goods, documentation accuracy, and smooth communication with internal teams, suppliers, freight forwarders, and customs authorities.
Key Responsibilities
1. Export Management
Prepare and manage all export documents (invoice, packing list, shipping bill, COO, Bill of Lading/AWB, etc.). Coordinate with freight forwarders, CHA, and shipping lines for booking, vessel schedules, and documentation. Ensure timely dispatch of goods according to customer requirements. Monitor LC (Letter of Credit) requirements and ensure documents are prepared accurately. Track shipments and provide status updates to customers and internal teams.
2. Import Management
Handle import documentation such as Bill of Entry, LC, insurance, and import licenses. Coordinate with suppliers, freight forwarders, and customs brokers to ensure timely clearance of imported goods. Manage duty payments, HS codes, and classification of goods. Maintain records of imports for audit and compliance.
3. Compliance & Regulatory
Ensure adherence to DGFT, Customs Act, FEMA, EXIM Policy, and other applicable regulations. Apply for and manage licenses, EPCG, advance authorizations, and other export incentives. Maintain accurate documentation for audits and government inspections.
4. Coordination & Communication
Liaise with production, sales, finance, and logistics teams to ensure smooth EXIM operations. Communicate with overseas clients and suppliers for shipment planning, documentation, and issue resolution. Handle claims for insurance, damages, and freight issues when needed.
5. Reporting & Records
Maintain shipment records, duty ledgers, freight cost sheets, and statutory documents. Prepare monthly reports on export/import performance. Track and analyse logistics costs and recommend cost-effective solutions.
Skills & Qualifications
Education:
Bachelor's degree in International Business, Logistics, Commerce, or related field. MBA or specialized EXIM certification preferred.
Required Skills:
Strong knowledge of export-import documentation and procedures. Familiarity with LC, banking norms, and international trade terms (INCOTERMS). Good communication and negotiation skills. Proficiency in MS Office and ERP systems. Attention to detail and ability to multitask.
