Purpose of the Job

: To perform Assigned task related to soft facility administration and assist manager admin in DWM and to be a local liaison resource.


Major Responsibilities:


1. Stationery Handling

Maintain adequate stock of stationery, office supplies, and consumables.

Issue stationery to departments/employees against requisitions and keep proper records.

Identify frequently used items and plan procurement accordingly to avoid shortages.

Track consumption patterns and ensure cost control.

Coordinate with vendors for quality and timely supply.



2. Reception Desk & Front Office Management

Manage reception operations including telephone handling, visitor entry, and hospitality.

Maintain visitor records, passes, and ensure professional front-desk service.

Handle incoming calls, direct them to the concerned departments, and take accurate messages.

Welcome and assist guests, interviewees, and clients professionally.

Coordinate meeting room bookings and ensure readiness (seating, AV system, refreshments).



3. Admin Stores Management

Maintain the admin stores including stationery, pantry consumables, cleaning materials, and miscellaneous supplies.

Ensure proper stock records, tagging, and periodic audits.

Implement First-In-First-Out (FIFO) for perishable/non-durable items.

Regularly update stock registers / ERP system for transparency and accountability.



4. Courier & Dispatch Handling

Manage inward and outward courier/dispatch of documents, parcels, and official communication.

Maintain courier records with details of sender, receiver, date, and tracking numbers.

Ensure timely delivery/collection and coordinate with courier agencies.

Handle confidential and urgent dispatches with priority and accuracy.



5. Miscellaneous Administrative Tasks

Support in travel bookings, accommodation, and transport arrangements.

Coordinate repair and maintenance of office equipment (printers, ACs, furniture, etc.).

Assist in event management, employee welfare activities, and festive celebrations.

Monitor housekeeping services and ensure cleanliness of office premises.

Support HR/IR/Admin teams in compliance, record-keeping, and documentation.

Prepare MIS reports on admin expenses, vendor billing, and cost tracking.


6.Government & Statutory Bodies

Coordinate with local authorities, municipal bodies, labor offices, and other statutory agencies for approvals, licenses, and renewals.

Ensure timely submission of documents, tax payments, and compliance records.
