Urgently looking for Executive Secretary to Chief Executive Officer
This position will provide comprehensive administrative support, oversee project management tasks, handle Tamil Nadu Pollution Control Board (TNPCB)-related matters, optimize workflow using AI solutions and manage various executive responsibilities efficiently. The ideal candidate should be highly intelligent, resourceful and adept at handling a wide range of tasks, including visa processing.
Key Responsibilities
Provide high-level administrative assistance to the CEO and leadership team.
Manage a busy calendar, schedule meetings and coordinate travel arrangements (domestic and international).
Professionally greet and receive guests and act as the primary point of contact for all internal and external stakeholders.
Maintain strict confidentiality of sensitive company information and communication.
Handle daily record-keeping and filing of important business documents.
Draft, proofread and prepare reports, presentations and correspondence swiftly and accurately.
Ensure efficient email and telecommunication management, responding on behalf of the CEO when required.
Assist in project management tasks, track progress, deadlines and execution.
Manage specific projects independently on behalf of the CEO, ensuring timely completion.
Coordinate internal and external meetings, including preparation of agendas, documentation, and follow-ups.
Perform business research and analysis to support strategic decision-making.
Manage government licensing work and compliance-related documentation.
Ensure compliance with Tamil Nadu Pollution Control Board (TNPCB) regulations.
Coordinate with regulatory authorities and manage necessary approvals, renewals and audits.
Maintain and update all TNPCB-related documentation, ensuring accurate records and timely submissions.
Liaise with internal teams and external consultants to ensure adherence to environmental standards and sustainability goals.
Continuously explore and adopt new technologies to minimize time consumption and optimize workflow.
Handle the complete visa application and processing procedures for CEO and senior management.
Stay updated on visa regulations and requirements for different countries.
Coordinate with embassies, consulates, and travel agencies for seamless travel planning.
Act as a liaison between CEO and internal departments, external clients, vendors and regulatory authorities.
Build and maintain strong relationships with stakeholders, ensuring smooth communication.
Prepare high-quality presentations and reports using Microsoft PowerPoint and Excel.
Demonstrate excellent verbal and written communication skills for effective correspondence.
Required Skills & Competencies
Strong organizational and multitasking abilities.
Proficiency in Microsoft Office Suite (PowerPoint, Excel, Word, Outlook).
Excellent communication skills (both verbal and written).
Ability to work independently and handle high-pressure situations.
Strong interpersonal skills and the ability to build relationships with key stakeholders.
Proficiency in Registrar of companies (ROC).
Sound knowledge of TNPCB compliance, government licensing procedures.
Flexible, adaptable and a problem-solver with a keen eye for detail.
Preferred Qualifications & Experience
Bachelor's/Master's degree in Any stream.
Minimum of 5-10 years of experience in an executive assistant or similar role.
Prior experience in handling TNPCB compliance and government licensing work is preferred.
