The Executive Secretary will provide high-level administrative and organizational support to the Director, ensuring efficient management of schedules, communication, confidential documents, and daily operations. The role demands professionalism, discretion, and strong coordination skills.
Key Responsibilities
Manage Director's calendar, appointments, travel arrangements, and meeting schedules.
Handle confidential correspondence, emails, and telephone communication professionally.
Prepare official letters, memos, reports, presentations, and meeting minutes.
Coordinate internal and external meetings, conferences, and follow-up actions.
Maintain filing system, important documents, databases, and office records.
Liaise with internal departments, stakeholders, and external contacts on behalf of the Director.
Monitor tasks, deadlines, and assist in prioritizing workflow and personal commitments.
Provide support in business documentation, research, and data compilation when required.
Qualifications & Skills
Bachelor's degree in Business Administration or related field.
3-5 years
of experience as Executive Secretary/Executive Assistant (preferably in corporate/retail sector).
Excellent communication (English & Hindi/Arabic preferred).
Strong MS Office skills (Word, Excel, PowerPoint, Outlook).
Excellent time management, coordination, and multitasking ability.
High level of confidentiality, discretion, and professionalism.
Pleasant personality with strong interpersonal & organizational skills.
Arabic knowledge is a plus.
