We're seeking a high-performing Executive Assistant to support our CEO and manage multiple coordination responsibilities with precision and professionalism.
Role Summary
The Executive Assistant (EA) will act as the backbone of the CEO's office, managing schedules, event/vendor coordination, internal communication, and administrative operations. This is a key role that demands high energy, discretion, and multitasking abilities.
Key Responsibilities
Executive & Administrative Support
Maintain and manage the CEO's calendar, appointments, and daily schedules.
Draft emails, prepare presentations, reports, and meeting briefs.
Handle confidential information with integrity and professionalism.
Make travel arrangements - booking flights, accommodation, transportation, etc.
Maintain files, records, and contacts database in an organized and secure manner.
Track CEO's action items, deliverables, and follow-ups.
Event & Vendor Coordination
Coordinate with vendors, agencies, and partners for smooth execution of events.
Manage event timelines, checklists, and on-ground volunteer/staff assignments.
Serve as a one-point contact for vendor communication, updates, and negotiations.
Handle coordination of decor, sound, light, logistics, guest handling, etc.
Client Liaison
Act as the CEO's representative for initial client coordination and scheduling.
Fix appointments and prepare agendas for client meetings.
Ensure regular follow-ups with clients on behalf of the CEO.
Project & Office Operations
Monitor the progress of ongoing media and event projects.
Coordinate with internal departments to ensure CEO's directions are implemented.
Maintain checklists and ensure timely delivery of project tasks.
Order office supplies and manage basic office admin tasks as needed.
Personal Secretary Functions
Remind CEO of daily tasks, important dates, and personal commitments.
Assist with errands, personal bookings, or special event arrangements.
Maintain discretion and a high level of confidentiality at all times.
Qualifications
Graduate in Business Administration, Media, or relevant field.
Prior experience as EA, PA, PS, or Office Manager preferred.
Excellent verbal and written communication in English and Telugu (preferred).
Strong knowledge of MS Office / Google Workspace / Calendar tools.
Highly organized with a proactive, can-do attitude.
Willingness to travel or attend events when required.
