Purchase & Stores Department
in the position of
Executive - Purchase & Stores
. The desired candidate should have at least
3 years of relevant experience
in handling
purchase and store operations
, preferably in a
hospital, healthcare organization, or similar industry
.
Key Roles & Responsibilities:
The selected candidate will be responsible for effectively managing and streamlining all purchase and store-related functions of the hospital. Major duties include, but are not limited to:
Procurement & Vendor Management
Identify, evaluate, and negotiate with vendors for procurement of hospital materials, consumables, and equipment.
Obtain and evaluate multiple quotations to ensure cost-effectiveness and quality assurance.
Prepare comparative statements, purchase orders, and maintain vendor agreements and records.
Ensure timely delivery of goods and services as per departmental requirements.
Inventory & Stores Management
Maintain optimum inventory levels to prevent stock-outs and overstocking.
Supervise receipt, inspection, storage, and issuance of materials to various departments.
Ensure accurate entry of material movements in ERP or store management systems.
Conduct periodic stock verification and maintain updated stock registers.
Coordination & Documentation
Coordinate with departments such as Pharmacy, Nursing, Biomedical, and Accounts for purchase and supply requirements.
Maintain all purchase-related documentation, including GRNs, invoices, and delivery challans.
Support in internal and external audits by ensuring proper documentation and compliance.
Cost Control & Process Improvement
Contribute to cost control measures by identifying alternate vendors and negotiating favorable terms.
Ensure compliance with hospital procurement policies and quality standards.
Assist in developing standard operating procedures for purchase and store operations.
Required Skills & Competencies:
Strong knowledge of hospital materials, consumables, and medical equipment categories.
Excellent communication, negotiation, and vendor management skills.
Good analytical and problem-solving abilities.
Proficiency in
MS Office
and
ERP/inventory software
.
High level of integrity, accuracy, and attention to detail.
Ability to multitask and meet tight deadlines in a fast-paced environment.
