To manage and execute procurement activities efficiently and ethically in line with the ministry's values. The Purchase Executive will ensure timely and cost-effective acquisition of materials, products, and services required for the various arms of the ministry (prayer towers, events, publications, etc.).
Key Responsibilities:
Procurement Operations:
Source, negotiate, and purchase materials and services in accordance with organizational requirements and budget.
Maintain vendor relationships and evaluate suppliers based on price, quality, and delivery.
Issue purchase orders, follow up on delivery schedules, and ensure timely receipt of goods/services.
Inventory Coordination:
Coordinate with stores and departments to track inventory levels and replenish stock.
Manage inward stock records and ensure proper documentation for audits.
Cost Control:
Analyze pricing trends and suggest cost-saving measures without compromising quality.
Ensure all purchases align with the organization's stewardship values and are well-justified.
Vendor Management:
Develop and maintain an approved supplier list in line with ministry standards.
Resolve supplier issues regarding quality or delivery delays.
Documentation & Reporting:
Maintain up-to-date procurement records.
Prepare regular reports on purchases, cost analysis, and vendor performance.
Compliance & Ethics:
Follow all procurement policies and ensure compliance with ethical purchasing standards aligned with Christian values.
Ministry Support:
Collaborate with other departments (e.g., Prayer Tower, Events, Media, Publications) to understand and fulfill procurement needs.
Qualifications and Requirements:
Bachelor's degree in Commerce, Business Administration, or relevant field.
Strong negotiation and communication skills.
Working knowledge of procurement software and MS Office.
High ethical standards and a heart aligned with the mission of Jesus Calls.
