Overview:



The

Executive - Medicine

is responsible for managing the procurement, stock control, and timely dispatch of medicines. This role involves vendor negotiations, inventory management, order fulfilment, and ensuring compliance with all regulatory standards. The individual will also verify documentation, handle queries, coordinate with logistics partners, and ensure timely delivery.

Additionally, the role includes maintaining HTC performance reports, identifying training needs, and ensuring adherence to the Quality Management System (QMS) and government guidelines. Proficiency in ERP software and Microsoft Office tools is essential for this position.

Key Responsibilities:

Procurement

: Manage the purchase of medicine, including vendor negotiations to ensure timely and cost-effective sourcing.

Stock Management

: Monitor and maintain Medicine stock levels, ensuring that inventory is replenished as needed.

?

Documentation

: Ensure that all relevant documents (Goods Receipt, Challans, and Invoices) for medicine stock receipts and dispatches are complete and accurate

o

HTC Reports and Reconciliation

: Receive and maintain monthly reports from Hemophilia Treatment Centers (HTCs), ensuring proper filing and reconciliation of these reports.

o

Performance Evaluation

: Conduct performance evaluations of HTCs, identifying areas for improvement.

Document Verification

: Verify the correctness of all documents related to receipts and dispatches of medicine, ensuring compliance with regulatory standards.

?

Order Fulfilment

: Issue medicines based on received orders (via email or phone), ensuring accuracy in order processing and timely dispatch.

?

Coordination with Logistics

: Work closely with courier and logistics partners to ensure proper dispatch of consignments and resolve any issues related to transportation.

?

Queries Handling

: Address and resolve queries related to medicine purchase, dispatch, and stock issues from Chapters or individuals.

?

Training Coordination

: Identify the need for remedial training for HTCs and coordinate the organization of such training sessions.

?

Follow Compliances

: Ensure that the QMS compliances, the local govt. and DCGI rules and regulations are followed.

?

Customs and CHA Coordination

: Coordinate with Custom House Agents (CHA) for shipments and ensure compliance with customs regulations and documentation.

?

Shipment Receipt and Coordination

: Handle incoming shipments, check received goods, and coordinate with transportation personnel.

?

Knowledge of Customs and DCGI

: A working knowledge of Customs regulations and the DCGI (Drugs Controller General of India) guidelines is preferred.

?

Cross-Department Coordination

: Coordinate with other departments as necessary to ensure smooth operation and timely dispatch.

?

ERP and Software Proficiency

: Ensure the use of ERP software for tracking orders, inventory, and dispatches. Proficiency in Microsoft Office tools is required.

Key Skills and Qualifications:

Education

: Diploma or Bachelor's degree in Pharmacy, or a related field.

?

Experience

: Minimum 2-3 years of experience in a similar role within a healthcare, pharmaceutical, or NGOs dealing in the health sector.

Skills

:

o Strong knowledge of procurement, logistics, and inventory management.

o Ability to effectively negotiate with vendors and coordinate with logistics partners.

o Proficient in ERP software and Microsoft Office tools (Excel, Word, PowerPoint).

o Strong attention to detail and document management skills.

o Good communication skills for handling queries and follow-ups via email and phone.

o Knowledge of QMS compliances.

o Understanding of customs procedures and regulations.
