Role Overview:
The Client Onboarding Executive will be responsible for ensuring a smooth and structured onboarding of new HR Outsourcing clients. The role involves coordinating with internal HR, payroll, compliance, and HRMS teams, collecting and validating client data, setting up systems, and acting as the primary point of contact during the initial transition phase.
Key Responsibilities:
Client Onboarding & Coordination
Act as the primary SPOC for new clients during the onboarding phase.
Conduct onboarding kick-off calls to understand client structure, headcount, and HR requirements.
Share onboarding checklists, timelines, and documentation requirements with clients.
Coordinate with internal teams (HR Ops, Payroll, Compliance, HRMS) for smooth implementation.
Data Collection & Documentation
Collect employee master data, salary structures, statutory details, policies, and previous payroll records.
Validate documents related to PF, ESIC, PT, LWF, Shops & Establishment, etc.
Ensure completeness and accuracy of onboarding documents and records.
HRMS & Process Setup
Support HRMS configuration including employee master setup, attendance rules, leave policies, and salary structures.
Assist clients in HRMS onboarding, user creation, and basic system training.
Ensure payroll inputs and statutory mappings are correctly configured before go-live.
Process Transition & Go-Live Support
Manage payroll transition from client to Career Creed systems.
Coordinate trial payroll runs and resolve discrepancies.
Support first-month payroll processing and compliance filings post go-live.
Ensure SLAs and onboarding timelines are adhered to.
Client Communication & Reporting
Maintain onboarding status trackers and share regular updates with clients and internal stakeholders.
Address client queries related to onboarding, timelines, and next steps.
Escalate risks, delays, or data gaps proactively.
Skills & Competencies
Good understanding of HR operations, payroll, and statutory compliance.
Strong coordination and stakeholder management skills.
Attention to detail and documentation accuracy.
Working knowledge of HRMS platforms (any).
Good communication skills (verbal & written).
Proficiency in MS Excel and basic reporting.
Educational Qualification
Graduate/Postgraduate in HR, Commerce, or Business Administration.
Relevant HR or payroll certification will be an added advantage.
Key Performance Indicators (KPIs)
Timely completion of client onboarding as per SLA.
Zero or minimal payroll errors during initial payroll cycles.
Client satisfaction during onboarding phase.
