Job Summary
We are seeking a highly organized, detail-oriented, and proactive
Executive Coordinator
to support top management in daily operations, enquiry handling, report preparation, and interdepartmental communication. The ideal candidate should possess strong analytical, multitasking, and communication skills, with the ability to manage priorities efficiently and maintain confidentiality.
Key Responsibilities Sales & Enquiry Management
Manage the complete process from enquiry to quotation and follow-ups.
Conduct lost order analysis and recommend improvements.
Analyze ORECS data for trends and cross-selling opportunities.
Management Support & Scheduling
Plan and organize management's calendar for optimal time utilization.
Coordinate and arrange meetings, prepare agendas, take minutes, and ensure timely follow-ups.
Draft professional reports, presentations, and MIS summaries.
Handle official emails and correspondence on behalf of management.
Assist in preparing financial reports using
Tally
(training provided).
Client & Stakeholder Coordination
Communicate with clients and stakeholders as per management instructions.
Consolidate sales reports and prepare MIS for review.
Executive Coordination & Administration
Handle cash dealings and payment collections on behalf of management.
Attend and coordinate MHE/W.B. meetings; ensure timely implementation of discussed points.
Follow up with departments to ensure assigned tasks are completed within deadlines.
Reporting & Analysis
Prepare daily, weekly, and monthly MIS reports.
Analyze enquiries, quotations, and lost orders to identify business trends.
Track marketing and cross-selling initiatives to measure ROI.
Provide data-driven insights and recommendations for management decisions.
Requirements
Graduate in any discipline (Business/Commerce preferred).
Experience:
2-5 years in office coordination, sales support, or executive assistance.
Excellent communication and interpersonal skills.
Strong proficiency in
MS Office (Excel, PowerPoint, Word)
.
Working knowledge of
Tally
(preferred, training will be provided).
Ability to work independently, multitask, and maintain discretion in handling sensitive information.
