high-calibre Executive Assistant & Office Manager
who can work directly with our Founder & CEO and act as the central backbone of day-to-day operations.
This is
not
a routine assistant role.
This is a
strategic, dynamic, fast-paced execution role
for someone who can think, act, and deliver at the CEO's speed.
Role Overview
The Executive Assistant to the CEO & Office Manager will be the
right hand
to the CEO--managing daily workflows, tracking tasks, handling communications, coordinating with teams, and ensuring the CEO's time is used efficiently.
You will take complete ownership of tasks, follow-ups, meetings, operations, and internal coordination--allowing the CEO to focus on high-impact decisions and business growth.
Key Responsibilities1. CEO Assistance & Task Management
Shadow the CEO's workday and ensure all tasks, follow-ups, and decisions are executed without delay.
Take notes during discussions, meetings, and calls--convert them into actionable tasks.
Prioritize tasks, remind the CEO of critical items, and ensure deadlines are met.
Draft emails, proposals, documents, and communication on behalf of the CEO.
Manage the CEO's calendar, schedule meetings, and coordinate with internal/external stakeholders.
2. Office Operations & Coordination
Observe and track all activities happening in the office--people, tasks, vendors, clients, and operations.
Ensure smooth functioning of daily office operations and handle any issues proactively.
Work closely with production, dispatch, design, customer support, and finance teams to ensure alignment.
Manage vendor interactions, negotiations, follow-ups, and documentation.
3. Communication & Reporting
Maintain strong communication lines between CEO and all departments.
Provide daily updates, status reports, and summaries of ongoing tasks.
Handle professional communication with clients, partners, vendors, and collaborators.
Maintain confidentiality and ensure sensitive information is handled securely.
4. Strategic Support
Assist in planning, implementing, and monitoring new initiatives across the company.
Identify inefficiencies and offer solutions to improve processes.
Help the CEO streamline workflows and optimize time management.

Executive Assistant, Chief of Staff, Office Manager, or Operations Coordinator
.
Experience working with founders, leadership teams, or start-ups.
Understanding of business operations, vendors, logistics, or retail/e-commerce.
Strong presentation, documentation, or project management skills.
