Role Description
This is a full-time remote role for an
Executive Assistant
supporting a
US-based client
(EST/CST Time Zone). The Executive Assistant will be responsible for calendar management, communication handling, meeting coordination, reporting, and day-to-day administrative support.
The role requires excellent English communication skills, strong organizational abilities, and the ability to handle a fast-paced workflow in a US shift environment.
Key Responsibilities
Manage executive calendars, appointments, reminders, and scheduling across US time zones
Handle inbound/outbound calls, emails, and all communication with professionalism
Maintain daily reports, presentations, meeting notes, and documentation
Track tasks, coordinate follow-ups, and ensure timely closure of action items
Assist in preparing business documents, summaries, and workflow sheets
Collaborate with internal and external teams for smooth project execution
Maintain confidentiality, handle sensitive information, and manage executive priorities
Support executives in administrative, operational, and organizational tasks
Attend virtual meetings, document MOMs, and ensure structured communication
Perform basic research, data compilation, and project coordination tasks
Key Skills & Competencies
Excellent English communication (written & spoken)
Strong organisational and time-management skills
Experience with Google Workspace / MS Office (Docs, Sheets, Slides, Outlook)
Outbound calling or BPO experience preferred
Ability to multitask, prioritise, and manage multiple executives
Professional email etiquette and client communication skills
High attention to detail, accuracy, and task ownership
Ability to work independently in a remote environment
Qualifications
Bachelor's degree (any stream)
Minimum
3+ years of experience
as an Executive Assistant / Virtual Assistant / Admin / BPO
Proven experience handling US-based clients or international communication
Must have
own system (laptop/desktop)
and stable internet connection
